A statement of account is a useful but often overlooked document for clients with multiple outstanding or historical invoices.
What it is
A statement of account summarizes all invoices issued to a client over a period — showing what's been paid, what's outstanding, and the running balance — rather than detailing individual line items like an invoice does.
When to send one
Useful for clients with several invoices in progress, at the end of a billing period, or when a client requests a full picture of their account history with you.
How it differs from an invoice
An invoice requests payment for specific work; a statement summarizes the overall financial relationship across multiple invoices, paid and unpaid.
What to include
- A list of all invoices in the period, with numbers, dates, and amounts.
- Payments received against each.
- The current outstanding balance.
Why it's useful
For clients managing multiple ongoing projects or a long engagement with you, a periodic statement of account reduces confusion and builds transparency, especially before a larger reconciliation or at year-end.
